General Membership Meeting Minutes

August 24, 2006

Meeting was called to order at 6:37 p.m. by President, Lisa Guerrero.

Lisa also read St. Teresa’s Prayer for the Invocation, reminding us that we can make a difference in doing little things

well and with great love.

Board Introductions and Reports

o President Elect is Michele Robinson.

o Secretary & Secretary Elect are Chris White and Heather Adair. (Yearbooks were distributed at the end of the

meeting. The remainder will be hand delivered or mailed.)

o Treasurer & Treasurer Elect are Susan Wieboldt and Melanie Haraway. Preliminary results from the Spring 2006

Fishing Tournament: $12,650 total revenues from 18 boat entries and no corporate sponsors. After expenses,

the net profit was $6,700 -- $1,700 above expectations.

o Advisory Planning / Bylaws, held by Kathleen McLelland, will update and clarify to the membership our bylaws

throughout the year.

o Teri Funk, through Education Training, will reeducate us on our purpose and help us get to know one another.

o Should the general membership have a concern, seek out the Member at Large, Heather Helmer, who will

vocalize that concern to the Board.

o Membership Development, chaired by Parker Spees, is looking forward to a successful Provisional class with the

first meeting scheduled for 6:00 p.m., September 12 at Parker’s home.

o Nominating Committee, under the direction of Stacey Rowe, will coordinate officer nominations.

o Placement is chaired by Courtney Nash. Courtney reports that she has several placement contracts yet to be

signed and is requesting that all members send her their email address (hers is courtney.nash@ey.com) to

streamline meeting reminder notices. Placement will also assist members with tracking and inputting their hours

for the President’s Volunteer Service Award.

o Public Relations is held by Cristina Gil.

o Public Affairs will be the primary contact for program funding and is held by Debbie Dunkin.

o Project Committee, chaired by Mia De La Garza, will seek and develop signature projects that will meet

community needs.

o Finance is chaired by Susan Wieboldt.

o Ways & Means is co-chaired by Lisa Hutchins and Shannon Sparks. They are planning a spring Chamber Mixer

to promote fishing tournament.

o Sustainer Involvement is embodied in multiple positions this year and an important resource. The Sustainer Reps

are Cindy Robinson, Mickey Graham, Kay Dunkin and Patty Zimney. Sustaining Advisors are Sharon Norris and

Shaun Wadkins. And the Sustaining Chair of the RGV Museum Project is Ellen Ballenger.

President’s Report on August Board Meeting

o Charity Event: The District Attorney’s office strongly suggested, due to crack-downs on gambling activities and

numerous grey-areas in the law, that we avoid the Texas Hold’em event. Therefore, it has been decided to

pursue the spring fishing tournament as our main fundraiser. With the committee in place and sustainer support it

is possible for this to become an extremely successful event.

o The Downtown Development District, which rents the downstairs space in the JLH building has renewed their

lease for two years. Their rent was increased $50/month to compensate for increased insurance rates. During

that time, fair market value for downtown rentals will be researched by the treasurer-elect and an appropriate

increase will be included in the next lease agreement.

o Chris White will return to Dining by Design, a fundraiser for the American Cancer Society, with a themed table,

“Red & White Delight”, using the Christmas decorations from last year’s RGV Museum Christmas Tree

Extravaganza. The event will be the first Thursday in November.

o Sustainers will again enter a tree in the Christmas Tree Extravaganza and have discussed raffling the tree to

cover entry fee and decoration expenses.

o A window in the northwest corner of the office will be repaired once an appropriate bid is received.

o The office is in need of a cleaning service one to two times per month. IF you have a suggestion, please email

Committee Chair Introductions and Committee Reports

o Cookbook is chaired by Lisa Hutchins. Lisa is hosting a luncheon at the Country Club Thursday, August 31 at

11:45 for those interested in learning more about the cookbook. She is also looking for volunteers to help at the

Birding Festival, November 9-12, and is gathering possible vendors that will sell the books. If you have any

questions or know of a vendor, email Lisa at lhutchens@rgv.rr.com.

o Courtesy is chaired by Linda Burke and she announced the death of two sustainers’ fathers and the birth of

Susan Wieboldt’s baby. Be sure to contact Linda with news on surgeries, illnesses, births, deaths, etc.

o Done-in-a-Day is chaired by Tina Buford and Lisa Guerrero reported on her behalf. This year the Ronald

McDonald House Shower will be held in the fall and community and school support similar to last year’s will be

actively sought. This will allow the Done in a Day committee the opportunity to assist with the registration for the

fishing tournament in the spring.

o Rio Review is chaired by Darcy McCabe. Also let Darcy know about deaths, births, etc. for inclusion in the

monthly newsletter as well as committee reports and dates to remember. The deadline will be the 25th of the

month to allow for printing and mail delivery before the membership meetings.

o This year’s webmaster is Ginger Armstrong and Heather Adair reported on her behalf. Up and running soon will

be a calendar on which committees can post upcoming dates. A web address, username and password will be

announced soon as well as instructions on posting information.

AJLI Training Dates. Allowances within the budget were made for training. The Executive Board was unable to

attend a conference in August however two dates are available: October 19-21 is the President/President-Elect Fall

Leadership Meeting in Memphis and November 3-5 is the ODI (Organizational Development Institute) in Houston.

Calendar of Events Review. A Calendar of Events has been included in the 06-07 Yearbook. However, in lieu of

definite dates, Lisa advised using the list as an idea of upcoming events and check with other League publications

(minutes, Rio Review, eMails and the website) for specifics.

Other Items. eMail Lisa Guerrero should you need to be included in an upcoming Membership Meeting’s agenda so

that time is allotted accordingly. Also, each month Lisa will update the general membership on board meeting

discussions.
